Any advice on maintenance schedules?

We are putting together the first 10 year schedule for a small block (4 units) - common property only - and would appreciate any advice, especially on format and how much detail to go to. We are thinking a spreadsheet with quarterly blocks of tasks. Possibly some simple graphics - maybe a graph of expected v actual expenditure. Any suggestions or examples gratefully received.
